Location: Vancouver, BC
Expected Salary Range: $55,000 – 62,000 per year
Responsibilities:
- Handle and manage general administrative needs to support the Board and Executive team – including calendar management, scheduling meetings and appointments, screening incoming calls and emails
- Coordinate travel bookings and arrangements for internal staff and Board members
- Prepare expense reports and assist with reimbursement submissions
- Maintain an efficient filing and document management system
- Manage and compile files as needed for internal and external meetings and records
- Attend meetings, prepare and distribute agendas and minutes to respective parties
- Prepare reports, documents, and presentations, including handling of confidential correspondence
- Organize planning logistics for events, meetings and workshops – inclusive of space bookings, catering, and related details
- Liaise with vendors to ensure office inventory stock levels are maintained
- Ensure main office areas and meeting rooms are clean and organized
- Additional related tasks and projects, as required
- Requirements:
- Diploma in Business Administration or related field of study
Minimum 3 years’ experience in a corporate office administrative role
Proficient with MS Office Suite and comfortable with technology - Excellent verbal and interpersonal skills with the ability to build and maintain professional relationships
- Strong attention to detail and accuracy
- Exemplary organizational and time management abilities
- Highly adaptable and able to expertly manage changing task priorities in a day
- Possess a proactive, positive, and collaborative approach
- Maintain the highest level of discretion with handling confidential details
- Able to travel within B.C. and Canada, on occasion
