Location:  Vancouver, BC
Expected Salary Range: $55,000 – 62,000 per year

Responsibilities:

  • Handle and manage general administrative needs to support the Board and Executive team – including calendar management, scheduling meetings and appointments, screening incoming calls and emails
  • Coordinate travel bookings and arrangements for internal staff and Board members
  • Prepare expense reports and assist with reimbursement submissions
  • Maintain an efficient filing and document management system
  • Manage and compile files as needed for internal and external meetings and records
  • Attend meetings, prepare and distribute agendas and minutes to respective parties
  • Prepare reports, documents, and presentations, including handling of confidential correspondence
  • Organize planning logistics for events, meetings and workshops – inclusive of space bookings, catering, and related details
  • Liaise with vendors to ensure office inventory stock levels are maintained
  • Ensure main office areas and meeting rooms are clean and organized
  • Additional related tasks and projects, as required
  • Requirements:
  • Diploma in Business Administration or related field of study
    Minimum 3 years’ experience in a corporate office administrative role
    Proficient with MS Office Suite and comfortable with technology
  • Excellent verbal and interpersonal skills with the ability to build and maintain professional relationships
  • Strong attention to detail and accuracy
  • Exemplary organizational and time management abilities
  • Highly adaptable and able to expertly manage changing task priorities in a day
  • Possess a proactive, positive, and collaborative approach
  • Maintain the highest level of discretion with handling confidential details
  • Able to travel within B.C. and Canada, on occasion
