Indigenous Perspectives Society: Centre of Excellence in Community Education (IPS) is a provincial organization that provides professional development to Indigenous child and family services in BC, to nonprofits, governments, municipalities, and corporations. Unique to our organization is our commitment to culturally relevant services. The Society works in cooperation with Indigenous child and family serving agencies to protect and enhance the well-being of Indigenous Peoples, First Nations and communities by reaffirming traditions, and through effective child and family service delivery that empowers the voices of Indigenous Peoples.
Purpose of the Position
The Administrative Curriculum Assistant plays a vital role in supporting the Curriculum and Training staff by managing administrative tasks, coordinating Curriculum Team activities, and maintaining the smooth operation of educational training programs. This role contributes to the provincial delegation training for Indigenous child and family serving agencies in British Columbia delivered by IPS. The responsibilities of this position requires strong technical, organizational, and communication skills.
Key Responsibilities
- Learning Management System (LMS) Administration:
- Manage, update, and troubleshoot the LMS online environment (Moodle).
- Build, upload, maintain, and edit online course materials.
- Support the setup and troubleshooting of online live training sessions.
- Administrative and Technical Support:
- Proofread, prepare and distribute materials for both online and in-class sessions.
- Draft, edit, and format various documents, reports, and correspondence using software like Microsoft Word, Microsoft Excel and Adobe Acrobat to ensure consistency.
- Coordinate team meetings, taking responsibility for scheduling, preparing agendas, and documenting outcomes.
- Utilize content and task management tools like SharePoint and Trello for the organization of Curriculum Team projects and workloads.
- Curriculum Development Support:
- Work with the Curriculum Team and contractors to implement activities and improvements for training materials.
- Develop templates and ensure all written curriculum adheres to formatting standards.
- Communication and Collaborator Support:
- Respond to internal and external inquiries professionally and in a timely manner.
- Communicate and collaborate effectively with staff, training participants, and community partners.
- Provide support for printing and distributing on-site curriculum materials, ensuring accuracy and completeness.
- Problem-Solving and Initiative:
- Identify and address any program administration-related problems or opportunities proactively.
- Troubleshoot technical and operational issues, taking the initiative to resolve them independently when possible.
Tools and Equipment
- Proficiency in software and platforms such as Microsoft Office Suite (Word, Excel, PowerPoint, Teams, SharePoint), Moodle LMS, Trello, and Zoom.
- Standard office equipment: computers, printers, photocopiers, multi-line telephones.
Qualifications
- A diploma or certificate in Business Administration or an equivalent combination of education and experience.
- General office experience, including maintaining databases and filing systems.
- Experience drafting correspondence from written and verbal instructions.
- Operational knowledge of Learning Management Systems.
- Superior organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to work independently, set priorities, and meet tight deadlines.
- Knowledge of social, political, and economic structures in Indigenous communities.
